Notice of Meeting

NOTICE is hereby given that the 13th Annual General Meeting of Members of Hurstville Golf Club Inc. will be held at the St George Maso’s Club Auditorium, 86 Roberts Road, Mortdale on Sunday 21st October 2018 commencing at 6:00pm.

• Declare the Meeting open and welcome by the President
• To confirm the Minutes of the last Annual General Meeting
• To receive and consider the club’s Annual Report, Balance Sheet and Profit and Loss Statement for the year ended 30th June 2018
• To receive and consider the Auditors Report
• To Elect the Office Bearers and General Committee Members to the following positions:

- President
- Vice President
- Treasurer
- General Committee - Assistant Secretary/Treasurer
- Captain
- Secretary
- (6 positions)

• To deal with any other business lawfully brought forward.

Special Business

• Changes to the club’s constitution as noted below
o Section 3- Application for membership. Change designed to streamline the processing of new membership applications. Refer Resolution 1 below for detailed description of proposed changes to points 3.1, 3.2 ,3.3 and 3.4

o Section 4 – Categories of Membership. Amendments to wording of Life Membership to better outline requirements. Refer Resolution 2 below for detailed description of proposed changes to points 4.4, 4.4.1, 4.4.2 and 4.4.3

o Section 14 – Composition and Membership of Committee, Remove the requirement for the Vice Captain to regularly attend monthly committee meeting by removing that position from the General Committee. The Vice Captains position to become an appointment of the Match Committee. Refer Resolution 3 below for detailed description of proposed changes to points 14.2 and 14.11.

o Note: HGC Constitution is available at

• Confirmation of Jeff James as a life member of the club.
• To deal with any other business lawfully brought forward.
• Nominations for positions on the club’s committee must be in the hands of the Secretary by no later than 5:30 pm 12th October 2018. Details of the roles and responsibilities of all position are available on application. Contact the Secretary via the club’s e-mail and for application forms, download a copy from the club’s member portal.  

Resolution 1.

Application for Membership –
To improve and expedite the processing of applications for membership the following changes to the wording in sections 3.1, 3.2 3.3 and 3.4 is proposed.
3.1 Remove ”must be made by two members of the club”.
3.2 Remove “nomination” and replace with ”application” and remove “nomination to the Committee” and insert “application to the Membership (sub) Committee”. Insert the following sentence “WHERE THE Membership (sub) Committee approves the application, the Secretary will advise the applicant of their acceptance and request payment of the appropriate annual membership fee as defined by the club’s annual schedule of fees.” Insert another sentence Unsuccessful applicant will be advised accordingly”.
3.3 and 3.4. Delete 3.3 and 3.4 and replace with “The Secretary, must on payment by the applicant, enter or cause to be entered the applicant’s name in the register of members and, on the name being so entered, the applicant becomes a member of the Club”.

Resolution 2.

Categories of Membership –
To better clarify the requirements expected of a nominee for the title of Life Member the following changes to Section 4 are proposed.
4.4. Delete 4.4 and replace with “A recommendation for life membership consideration can be made by any ordinary member and must be submitted to the Committee. The Committee will then take into consideration the period and service provided to the club by the nominee when considering nominations. Service period would be considered as 10 years minimum not necessarily limited to this period”.

4.4.1. “The committee may confirm or reject a nomination for life membership”.
4.4.2. “Confirmations will be presented for ratification by a show of hands at the clubs next Annual General Meeting”.
4.4.3. “A life member will be recognised by having their name rerecorded in the clubs Permanent Records as having achieved the status of "life member" with a brief history of the service provided to the club”.

Resolution 3.

Appointment of Vice captain-
To facilitate a more structured approach to the management of golf related issues it is proposed to make the position of Club Vice Captain an appointment made by the Match Committee rather than via the club’s annual election process. As such, the position will not be restricted to a 12 months term and therefore better suited to provide long term support to the annually elected Club Captain. The following changes are proposed.
14.2 remove (g) the Vice-Captain and the word “änd” from point (f)
14.11 remove 14.11. Responsibilities of Vice Captain moves to the Match Committee.

• Light refreshments will be served at the end of the meeting.

Please note, as a cost savings initiative a copy of the Clubs Annual Report will be made available on the Clubs Web Site from 2nd October 2018. A limited number of hard copies will be available on the night for those without internet access.
Those attending will be eligible for a position in one of two teams in the Hurstville Pro-Am held on Friday 23rd November 2018
